Privacy policy
Last updated 8 October 2026.
This policy explains how The Pink Olive uses personal data when you use this website or contact us. We keep it short because we collect very little.
Who we are
The data controller is THE PINK OLIVE SOUTHAMPTON LTD (company number 17021376), trading as The Pink Olive, registered office 23 Manor Farm Road, Southampton, United Kingdom, SO18 1NN. To do: Add your ICO data protection fee registration number, and an email address for privacy requests.
What we collect and why
When you send us a message
If you use the contact form we receive your name, email address, the topic you choose and your message. We use these only to reply to you. Our lawful basis is your consent, which you give by ticking the box on the form, and our legitimate interest in answering customer questions.
Messages are delivered to us through a form-handling service that processes the data on our behalf. To do: Name the form provider (for example Formspree) and where it stores data.
When you browse the site
We don't use analytics, advertising trackers or cookies of our own. Like every website, our hosting provider automatically records basic technical information (such as your IP address and browser type) in server logs to keep the site secure and working. To do: Name the hosting provider.
Google services
The map on our contact page only loads if you choose to load it. When you do, Google receives your IP address and may set cookies, under Google's privacy policy. Reviewer profile pictures on our reviews pages are loaded from Google's servers.
How long we keep it
We keep messages for as long as we need to deal with your enquiry, and delete them within 12 months unless we need them for a legal reason. To do: Confirm this retention period works for you.
Who we share it with
Only with the service providers named above, who process it on our instructions. We never sell your data or use it for marketing without asking.
Your rights
Under UK data protection law you can ask us to:
- give you a copy of the personal data we hold about you
- correct it if it's wrong
- delete it
- restrict or object to how we use it
- withdraw your consent at any time
To make a request, message us on Instagram (@the_pinkolive), pop into the café, or write to us at our registered office. If you're unhappy with how we handle your data, you can complain to the Information Commissioner's Office.
